Logistics overview
The logistics modules are where Novex tracks everything physical and operational that makes an event happen on the ground. They sit alongside the planning and finance side of the platform and let your operations team manage suppliers, people, places and on-the-day execution from one place.
What logistics covers
An event in Novex is the hub; each logistics record can attach to one (and is scoped to your tenant). The modules group into three layers:
| Layer | Modules | Purpose |
|---|---|---|
| Places & suppliers | Venues, Catering | Where the event runs and what’s served |
| People movement & care | Transport, Hospitality, Staffing & shifts | Getting attendees, VIPs and staff there, housed and rostered |
| On-the-day execution | Gifting, Incidents, VIP, Production | What’s handed out, what goes wrong, and how the show runs |
How it relates to an event
- You plan an event under Events and confirm its date, venue and headcount.
- You attach logistics records — a venue booking, catering orders, transport routes, hotel rooms, staff shifts.
- Costs flowing from these records feed quotations and invoices on the finance side (e.g. final catering headcount adjusts the invoice line).
- During the event, your team logs incidents and tracks gift distribution and production tasks in real time.
When to use which module
- Use Venues to keep a reusable directory of locations and check availability before booking.
- Use Catering when food and beverage is part of the event.
- Use Transport to move groups of attendees or individual VIPs.
- Use Hospitality for overnight stays, including speaker travel.
- Use Staffing & shifts to roster your event crew and track clock-in/out.
- Use Gifting & incidents on event day for swag handling and issue tracking.
- Use VIP & production for high-touch guest care and run-of-show technical delivery.
Tips & limits
- Every logistics record is tenant-scoped and respects your role permissions — staff without the relevant permission won’t see or edit it.
- Logistics modules are optional. Use only the ones an event needs; nothing is required to publish an event.
- Exact screen labels may vary depending on your plan and navigation layout.
