Transport

A transport record in Novex describes how people move to, from and around an event — the vehicle, the route, and who’s being moved. Use it to coordinate shuttle fleets for general attendees and dedicated cars for VIPs.

When to use transport

Add transport when an event needs organised movement: airport pickups for speakers, shuttle loops between hotels and a venue, or chauffeured cars for VIP guests. Each record can represent a route, a vehicle assignment or a single trip depending on how you want to plan.

Create a transport plan

  1. Open Transport and choose + New.
  2. Select the event the transport supports.
  3. Record the vehicle or fleet (type, capacity, provider).
  4. Define the route — pickup point, destination, stops and timing.
  5. Assign passengers or a passenger group (general attendees vs. a named VIP).
  6. Add the cost and provider contact.
  7. Save. The plan appears against the event for the operations team.

Routes & fleet

Model your movement at the level that fits the event:

  • Shuttle loops — recurring runs between fixed points (hotel ↔ venue) on a timetable; size the vehicle to the loop’s peak demand.
  • Point-to-point trips — a single pickup and drop-off, common for arrivals and departures.
  • VIP cars — a dedicated vehicle tied to a specific guest; coordinate with VIP management.

Tips & limits

  • Match vehicle capacity to peak demand, not average — a shuttle that overflows at the keynote rush strands attendees.
  • Keep VIP transport separate from general shuttles so timing and discretion aren’t compromised.
  • Coordinate arrival transport with hospitality so pickups align with hotel check-in.
