Exhibitors

Exhibitors are companies taking a booth at your event. Where sponsors are about packages and deliverables, exhibitors are about stand presence — you capture each company’s details, move them through a sales pipeline, and assign them a booth from the floor plan.

Where to find it

/t/<slug>/exhibitors — the exhibitor list across your events. Filter by event, and switch between Active, Archived and All views. Managing exhibitors uses the same permission as sponsors.

The exhibitor list

Each row shows the company (with contact name), the event it belongs to, its package, assigned booth codes, and its status. Click a row to open the exhibitor.

Adding an exhibitor

  1. Click New exhibitor.
  2. Pick the Event (required — only events that are planning, confirmed or in execution are selectable).
  3. Enter the Company name (required).
  4. Optionally add: Package, Contact name, Contact email, Contact phone, Website, and a Description.
  5. Save. The exhibitor starts at status Prospect.

Status pipeline

Advance an exhibitor through their lifecycle with the Advance status button:

The progression runs Prospect → Confirmed → Paid → Setup → Live; Completed and Canceled are end states.

Assigning a booth

Booths are shared with the floor plan — trace and label them there, then assign on the exhibitor:

  1. Open the exhibitor.
  2. In Booth assignment, pick an available, unassigned booth for the same event.
  3. Save. The booth is now reserved for this exhibitor and shows on their record with its code and size.

You can unassign a booth to free it again. Booths carry their own status (available, held, reserved, assigned, or blocked) so you can see at a glance what’s still sellable.

Archiving

Use Archive to remove an exhibitor from the active list without losing their record or booth history — handy for cancellations you want to keep for reporting. Restore brings them back. Archived exhibitors appear under the Archived / All views.

Tips

  • Set up the floor plan first so booths exist to assign.
  • Keep status current — it drives your “who’s confirmed / paid / on-site” view during setup week.
  • Use the event filter when you run several events so you only see the exhibitors for the show you’re working on.
