VIP & production

VIP management handles your most important guests with dedicated care, and production tracks the technical run-of-show — stage, AV and the cues that make the event run. Both are API-backed modules in Novex; they let you model high-touch guest care and show delivery against an event.

VIP management

What it is & when to use it

A VIP record represents a guest who needs special handling — a keynote speaker, a sponsor executive, a government dignitary, a celebrity. Use it when generic attendee handling isn’t enough and a guest needs a coordinated arrival, dedicated transport, premium accommodation and a personal point of contact.

How to use it

  1. Create a VIP record and link it to the event and the guest.
  2. Capture their requirements — protocol, dietary, security, accessibility.
  3. Coordinate the supporting logistics: a dedicated transport car, a hospitality booking, and any incidents.
  4. Assign an owner responsible for the VIP’s experience end to end.

VIP data is exposed through the tenant VIP API, so it can also be driven by integrations and automation rather than only manual entry.

Production

What it is & when to use it

Production covers the technical and operational delivery of the event itself — the stage plan, AV setup, lighting, sound, and the run-of-show: the timed sequence of cues, segments and hand-offs. Use it when an event has a stage programme that needs to be planned and executed precisely.

How to use it

  1. Create production tasks against the event for each element — stage build, AV check, rehearsal, doors, keynote, awards, teardown.
  2. Sequence them into a run-of-show with timings.
  3. Assign owners and track each task to completion as the show progresses.

Production data is served by the tenant production API, supporting both manual planning and programmatic run-sheet generation.

Tips & limits

  • Tie every VIP to a named owner — divided responsibility is how VIP care fails.
  • Build the run-of-show backwards from the headline moment so dependencies (rehearsal, soundcheck) land early enough.
  • These modules are API-backed; the exact in-app screens depend on your plan. Exact screen labels may vary.
